Run hotel ops from the PMS into a team board
A hotel operator used Claude Cowork with a PMS, Notion and Make so arrivals, balances and guest messages sit on one board.
Done with
What they did
Cowork logs into the property system, reads upcoming vouchers, and fills a Notion database with name, room, meal plan, extras, payment status and balance due. Housekeeping, kitchen and the desk each get a view of only their slice. Unpaid stays surface so Cowork can draft a reminder. It can browse Booking.com for competitor rates and log them. Make then sends pre-arrival, confirm and post-stay notes from stored contacts, including in-stay chat.
How it went
The operator describes a working ops layer. The post gives no occupancy, time-saved or error figures.
Worth knowing
This is one operator's LinkedIn stack, not a measured study. Rate changes and guest messages still need a person.
For a Pattaya guesthouse
A 20-room guesthouse that already lives in a simple PMS can start by copying tomorrow's arrivals onto a shared board. Housekeeping only needs room and checkout time. Hold every guest message for send.
Set it up
- Pick one board with arrival, room, balance and channel.
- Copy tomorrow's PMS or Booking.com vouchers into that board.
- Give housekeeping and the desk their own filtered view.
- Draft pre-arrival notes and hold them for send.
- Flag unpaid balances for a person, never for auto-chase.
