Speed visa intake and document chasing

What they did

AIS Immigration was chasing documents by email and tracking deadlines in a sheet. Advisors spent most of the day on admin. Lodhi rebuilt intake with conditional forms that route to a visa path, automated document requests with reminders, and a HubSpot case board with deadlines and checklists. Status questions go to a chat agent so advisors are not interrupted. Make.com, Typeform and Drive sit under that path. A person still reviews the file.

How it went

Lodhi's own case reports 60 percent faster case processing, four times the case capacity with no new hires, 85 percent less admin time, and inquiry-to-advisor time cut by two weeks.

Worth knowing

Consultancy write-up, not a firm's independent study. Booking a consult and chasing a document pack is the safe job. Do not let the bot quote a visa outcome.

For a Pattaya visa or legal desk

A Second Road visa desk that still pastes document lists by hand can copy intake forms plus reminder sequences. A licensed adviser still reviews the file.

Set it up

  1. Map each visa path and the documents it actually needs.
  2. Put those packs on a form that routes to the right board.
  3. Send document reminders from that board, not from a freeform chat.
  4. Answer status questions from the board only.
  5. A person reviews every new row before the meeting.
