Confirm tour bookings and collect deposits
Surf and Scale wired five n8n workflows for a tour operator so a web or chat enquiry becomes a confirmed deposit without the owner in every step.
Done with
What they did
A WordPress form and a chat line feed the same pipeline. Claude reads a freeform message, pulls name, city, date, party size and duration, and asks for whatever is missing. Complete requests go to available guides. The first guide to confirm locks the job. The system then calculates the deposit from the guide's rates, mints a PayPal link, and sends it with deposit versus balance. When PayPal clears, the sheet, the guide and Nimble CRM all update. Tours inside three days also send the guide's number to the guest.
How it went
The consultancy says the owner is out of the loop and guests can be confirmed within minutes of the first message. The case does not attach a booking-count or revenue figure.
Worth knowing
This is Surf and Scale's own case study. Auto-send of a PayPal link is the risky step. Hold the first week's links for a person if your rates change daily.
For a Pattaya tour or yacht desk
A Koh Larn pier desk that still pastes deposits by hand can copy form-plus-chat into one sheet, then a held PayPal link. Keep a person on the confirm when the boat is weather-dependent.
Set it up
- Feed the website form and the chat line into one n8n pipeline.
- Extract date, party size and tour name. Ask for anything missing.
- Offer the job to guides and lock the first confirm.
- Mint the deposit link from a rate sheet, and hold send for a person on week one.
- When paid, update the tracking sheet, the guide and the CRM.
