Turn tour enquiry mail into a quote
Sufalam built an n8n plus GPT-4 quoting agent for a DMC that handled 50 to 70 partner emails a day, each taking 35 to 50 minutes by hand.
Time and cost: 35 to 50 minutes per quote by hand, 50 to 70 enquiries a day at peak; approval click under 30 seconds (source)
Done with
What they did
A DMC's partner inbox received structured trip requests all day: destination, dates, passenger count, rooms, meals, extras. Staff looked up contracted rates in the ERP and built a branded quote. Sufalam put n8n on that inbox, extracted the fields, looked up rates, and had GPT-4 fill the house quote template as a PDF. The operations manager gets the PDF and taps approve. That last click is described as under 30 seconds. n8n was chosen so partner mail stayed on their own infrastructure.
How it went
Before the build, peak days were 50 to 70 enquiries, each 35 to 50 minutes. After, the human step is an approval click. The post does not give a win-rate change.
Worth knowing
This is Sufalam's own case study. The approval click is the stop that keeps a wrong rate off the PDF.
For a Pattaya tour or yacht desk
A Pattaya DMC or yacht broker that still builds island-hopping quotes by hand can extract dates and party size, fill a rate sheet, and hold the PDF for send. Do not auto-send a boat that is already chartered.
Set it up
- Point n8n at the partner enquiry inbox.
- Extract dates, party size, rooms and extras.
- Look up rates from your own sheet or ERP, never from the model.
- Fill the house quote template as a PDF.
- A person approves before the PDF goes out.
